A client portal your clients will actually use
One login where your clients book, pay, approve, download their files and message you. Built around the way your business already works, not the other way around.
What your client sees
Jobs move from request to delivery and your client always knows where things stand. Tap a job card to move it forward.

When a portal makes sense
Most small businesses run client work through email threads, a shared drive, a payment link and a calendar app. That works until you have twenty active clients. Then files go missing, people ask for status updates you already sent, and invoices sit unpaid because nobody can find them.
A client portal puts all of that behind one login. The client sees their own projects, documents, invoices and messages. Your team sees every client in one place. Nothing depends on someone remembering to forward an email.
- You send the same status update to clients several times a week
- Files are shared through links that expire or get lost
- Clients pay late because the invoice is buried in their inbox
- You copy information from forms into a spreadsheet, then into an invoice
- New staff need weeks to learn where everything lives
What we usually build into a client portal
- Secure login. Email and password or magic link, with each client seeing only their own data
- Projects and status. Every job with its stage, dates and next step, so clients stop asking where things are
- Files and deliverables. Upload, download, approve and comment on files without third party links
- Quotes and invoices. Send a quote, get it accepted in one click, then invoice and take payment by card
- Bookings. Clients pick a time that is actually free, and it lands in your calendar
- Messages. Conversations tied to the project, so the history stays with the job, not in someone's inbox
- Admin side. Your view of every client, with filters, notes and simple reports
You do not need all of it on day one. Most portals start with three or four of these and grow once the team is using it.
Off the shelf portal software or a custom build?
Tools like Softr, SuiteDash or Copilot are good when your process looks like everyone else's. You pay a monthly fee per seat, you get set up fast, and you accept their screens and their limits.
A custom portal makes sense when your process is the thing that makes you different, when per seat pricing gets expensive as you grow, or when you need the portal to talk to tools you already use. You own the code and the data, and there is no per user fee.
| Portal software | Custom portal | |
|---|---|---|
| Time to launch | Days | Weeks |
| Monthly cost | Per user, grows with you | Hosting only, usually low |
| Fits your process | You adapt to the tool | The tool adapts to you |
| Branding | Their layout, your logo | Fully yours |
| Data ownership | On their platform | Your database, your export |
| Best for | Standard workflows, small teams | Unusual workflows, growing teams |
We will tell you honestly if a ready made tool fits. If it does, we can set it up for you instead of building.
A real example: the KLM Studio photographer portal
KLM Studio connects businesses with photographers. Before the portal, every request meant emails back and forth, a quote by hand and a manual decision about which photographer to send. We built a portal where photographers sign up and sign the partner agreement online, each photographer has their own rate, quotes are calculated from that rate automatically, and requests are assigned without anyone sorting them by hand. Client and photographer conversations stay attached to the job.

How a portal project runs
- Map the workflow. We write down every step from first contact to final invoice, and who touches what.
- Pick the first version. We agree on the smallest portal that removes the most manual work.
- Build and test with real clients. You see it working early, on your phone, with your data.
- Launch and move clients over. We help you invite clients and retire the old way of doing things.
- Improve. Once people use it, the next features are obvious. We add them in small steps.
What it costs
The price depends on how many roles there are (client, staff, admin), whether payments are involved, and how many other tools it connects to. We give a fixed quote after a short scoping conversation. For what drives the price, read how much a custom client portal costs.
Questions, answered
Can clients use the portal on their phone?
Yes. We design the portal for phones first, because that is where most clients open it. It also works on desktop for your team.
Can it take payments?
Yes. We usually connect Stripe so clients pay quotes and invoices by card inside the portal. The money goes straight to your account.
Do we own the portal?
Yes. You own the code and the data. If you ever want another developer to take over, they can.
Can it connect to our existing tools?
Usually, if the tool has an API. Common ones are Google Workspace, Stripe, QuickBooks or Xero, calendars and email services.
Is it secure?
Each client only sees their own records, passwords are never stored in plain text, and everything runs over HTTPS. We keep the attack surface small by building only what you need.
