How much does a custom client portal cost?

An honest breakdown of what drives the price, what it costs to run each month, and when you should not build one at all.

The short answer

It depends far more on scope than on who builds it. A portal with login, projects, files and messages is a modest project. Add payments, bookings, several user roles and integrations and it grows quickly. Agencies with larger teams also quote more for the same scope, mostly because of overhead and process.

We do not publish price lists. Every project gets a fixed quote based on a written scope, so the useful question is what makes your project bigger or smaller.

ScopeWhat it includesRelative size
SimpleLogin, client dashboard, file sharing, messages, admin viewSmallest
StandardAbove plus quotes, invoices, card payments, notifications, 2 to 3 rolesRoughly two to three times simple
AdvancedAbove plus bookings, automation rules, integrations with accounting or CRM, reportingLargest, scoped in phases

What actually drives the price

  • Number of roles. Client only is simple. Client, staff, manager and partner each with different permissions multiplies the screens and the testing.
  • Payments. Taking card payments with Stripe is well understood, but deposits, refunds, partial payments and payouts to third parties add work.
  • Integrations. Every connection to another system (accounting, calendar, CRM, email) is its own small project.
  • Automation. Rules like assign this job to that person or send this reminder after three days are where most of the value is, and some of the cost.
  • Design. A clean, consistent interface is standard. Heavy custom branding and animations cost more.
  • Data migration. Importing years of clients, files and history from other tools takes time.

Monthly running costs

A custom portal has no per user license. You pay for hosting, a database, file storage and email sending. For a small business portal, that is usually a small monthly amount, rising with heavy file storage or traffic. Maintenance (updates, small fixes, backups) is usually a monthly retainer or billed as needed.

When portal software is cheaper

Off the shelf portal tools charge per month, often per user. For a team of three with a standard workflow, that will be cheaper than building for a long time. The math changes when you have many users (each one adds to the bill), when your workflow does not fit the tool, or when you are paying for three tools to do what one portal could.

How to keep the cost down

  • Start with the one workflow that wastes the most time
  • Launch to a few clients first, then add features they ask for
  • Use proven services (Stripe, email providers, cloud storage) instead of building them
  • Write down your process before the first meeting
  • Ask for a fixed quote with a clear scope, not an hourly estimate

Where to go from here

See what a portal can include on our client portal page, or look at the KLM Studio portal for a real example. When you are ready, build a project brief and we will send a fixed quote.

FAQ

Questions, answered

Why do quotes for the same portal vary so much?

Different teams, overhead and assumptions about scope. A clear written scope is the best way to compare quotes fairly.

Is a no-code portal a good first step?

Often, yes. If it proves the workflow, you can rebuild custom later with a clear spec.

How long does a portal take to build?

A focused first version usually takes a few weeks to a few months, depending on scope.
