How much does a custom web app cost for a small business?
Internal tools, portals, booking systems, quote builders. What drives their cost, and how to make the first version pay for itself.
Think in versions, not in one big project
The most useful question is not how much the app costs, but how much the first version costs that removes the most painful manual work. A first version that saves your team ten hours a week pays for itself in months. A complete platform built before anyone uses it often never does.
We do not publish price lists. Every project gets a fixed quote based on a written scope, so the useful question is what makes your project bigger or smaller.
| Type of app | Relative size of a first version |
|---|---|
| Calculator or quote builder on your website | Small |
| Internal tool replacing a spreadsheet | Small to medium |
| Staff or client portal | Medium |
| Booking system with payments | Medium |
| Marketplace or two sided platform | Largest |
What makes one app cost more than another
- How many types of users, and what each can do
- Payments, refunds and payouts
- Connections to other software
- Rules and automation
- Reports and exports
- Offline use or native mobile apps (a web app works on phones without either)
- How messy the existing data is
Ways to estimate the value before you build
Count the hours. If three people spend an hour a day copying data, chasing status updates or rebuilding quotes, that is roughly 750 hours a year. Put your hourly cost on that and you know what the problem costs you. Add lost leads from slow answers, mistakes in quotes and clients who leave because the process is messy.
Running costs
Hosting, database and storage for a small business app are usually modest. Budget for maintenance too: security updates, small changes and support. There are no per user license fees on custom software.
Questions to ask any developer
- Who owns the code and the data?
- Is the quote fixed for a defined scope, or hourly?
- What is in the first version and what is explicitly left out?
- Where is it hosted and what does that cost each month?
- What happens if you want another developer to take over?
- Can I see something working before it is finished?
Our answers: you own everything, quotes are fixed for a written scope, you see it working early, and it is built so another developer can take it over. Start a brief to get a quote.
Questions, answered
Is a web app the same as a mobile app?
No. A web app runs in the browser on any device. For most small business tools that is enough, and it avoids app store costs and reviews.
Can AI tools build my app for free?
AI builders are great for prototypes. Production apps with payments, permissions and real data still need careful engineering and someone accountable for them.
Do I need to know what features I want?
No. You need to know the problem. We help turn that into a feature list.
